Workshop Facilitator Application

Thank you for taking the time to apply to run a workshop at Flow in the Forest. Please read the below application guidance carefully before making your application.

As a workshop facilitator, we ask for either:

one 90 minute workshop, or
two 60 minute workshops
Additionally, you are required to arrive by 4pm on Thursday 17th September in order to attend the mandatory briefing and be fully prepared for the event opening later that day, workshops start 10am Friday 18th September 2026.

Approximately 35% of our workshop hosts participate on a voluntary basis, as Flow in the Forest is a participatory event run by a registered not-for-profit organisation and an entirely volunteer-led team.

Please note that our budget for paid workshop hosts is extremely limited, as most paid positions are allocated in advance by invitation. However, we do reserve a small number of spaces for applicants whose proposals align with the aims and atmosphere of Flow in the Forest 2026, and we may also keep suitable applicants in mind for future events, including 2027.

If this is your first time volunteering with us, we ask participants to purchase a discounted participation ticket upfront to help confirm commitment and reduce last-minute dropouts, which can have a significant impact on small independent events.

If this is your first time volunteering with us, we ask volunteers to purchase a discounted crew ticket in advance to help confirm commitment and reduce last-minute dropouts, which can have a significant impact on small independent events like ours.

A £50 refundable deposit is included within this amount and will be returned 30 days after the event, provided agreed shifts have been completed to a reasonable standard, unless you choose in your application to donate this amount back to support Flow in the Forest CLG.

If you have crewed/volunteered with us before, you will be deposit exempt* meaning you will only be expected to contribute £50 toward the cost of your ticket and a crew fully catered ticket will be available for an extra £120.

In return for contributing your time, volunteers receive heavily discounted access to the event, including workshops, professional development opportunities, community spaces, live music, the shows, access to the fire practice environment and all the event has to offer.

Deposit options are:

Fully catered ticket
£220 deposit (£100 discounted from the standard ticket price)

Self-catered ticket
£100 deposit (£100 discounted from the standard ticket price).

This means volunteers who complete their shifts receive a total discount of £150 from the standard ticket price in recognition of their contribution to the event.

Flow in the Forest is a grassroots participatory event built around contribution, creativity and shared experience. Rather than focusing on spectators and commercial entertainment, the event is shaped by the people taking part — through workshops, performances, skill-sharing, collaborative projects, music, fire practice and community participation.

Fully catered tickets are priced higher as they include three meals and three drinks per day throughout the live event. These proceeds go fully to the caterer minus a small admin fee.

We aim to respond to all applicants within 7 days of application, however this may not always be feasible depending on the volume of applicants.
