Terms & Conditions of Ticket Purchase

By purchasing a ticket to Flow in the Forest, you agree to the following Terms and Conditions
last revision and update 21/05/2026:

1. Refund Policy

Up to 14 days after purchase of the ticket: Refunds may be requested subject to a £30 administration fee per ticket.

All refund requests must be submitted in writing to help@flowintheforest.com and may take up to 14 working days to process.

Under the Consumer Contracts Regulations 2013, (Regulation 28), tickets purchased for leisure events, transport, accommodation, and catering services scheduled for a specific date or period of performance are officially exempt from the standard 14-day cooling-off period that applies to many online purchases.

This means that, where the event is proceeding substantially as advertised, ticket holders do not have an automatic legal right to a refund if they simply change their mind or can no longer attend. However, as a community-focused event, Flow in the Forest may, in good faith and at its sole discretion, offer refunds up to certain timeframes outlined in this policy.

These discretionary refunds are offered to help support attendees where possible, while recognising that significant planning, supplier commitments and operational costs are incurred well in advance of the event.

Flow in the Forest reserves the right to refuse refund requests at any time where it reasonably believes the policy is being misused, where exceptional operational circumstances apply, or where issuing a refund would materially impact the viability or safe delivery of the event.

Ticket holders may also be offered the option to transfer the value to a future Flow in the Forest event at no cost, or sell the ticket(s) themselves and transfer it to a named party for a flat rate admin fee of £30. Any such option will remain entirely voluntary.

2. Event Cancellation

If Flow in the Forest is cancelled by the organisers prior to the event commencing, ticket holders will be entitled to a full refund of the face value of their ticket in accordance with applicable consumer protection legislation. This includes cancellation resulting from circumstances such as venue withdrawal, licensing refusal, severe weather conditions, force majeure events, or any other situation which, in the reasonable opinion of the organisers, makes the event unsafe, unviable, or impossible to deliver substantially as advertised.

Please note that, in the event of a cancellation, the organisers may be required to first process and resolve an event insurance claim before refunds can be issued. While every effort will be made to communicate clearly and process refunds as quickly as reasonably possible, attendees acknowledge that this process may take time depending on the circumstances and the timelines of insurers, payment providers and third parties involved.

Refunds will be issued to the original payment method wherever reasonably possible. Flow in the Forest is only responsible for refunding the ticket purchase itself and cannot accept liability for any consequential losses or costs incurred by attendees, including but not limited to travel expenses, accommodation, vehicle hire, loss of earnings, or other third-party bookings or arrangements.

In the event of cancellation, ticket holders may also be offered the option to transfer their ticket to a rescheduled date, transfer the value to a future Flow in the Forest event, or voluntarily donate part or all of the refund to assist with unavoidable operational and supplier costs already incurred. Any such option will remain entirely voluntary, and a refund option will always be available to ticket holders.

Where an event is postponed rather than cancelled, tickets may remain valid for the rearranged date. If a ticket holder is unable to attend the rescheduled event, they may contact us within the stated timeframe to discuss the options available under this policy.

3. Age Policy
This is a strictly 18+ event.

– Exceptions may be made on a limited, case-by-case basis, but must be arranged in advance.

– No under-18s will be admitted without prior written agreement from the organisers.

4. Dogs and Pets
No dogs or pets are permitted unless explicitly arranged in advance with the organisers.

– Approved dogs will be restricted to the campsite area only and are strictly prohibited from entering any fire spaces, including the woodland glade.

– Dog owners must clean up after their dogs.

Any fouling must be bagged and disposed of responsibly.

– Owners are fully responsible for their dogs at all times.

5. Glass Policy

No glass is permitted on site, including in the bins or the woodland glade area. This is for the safety of all participants, animals, and the environment. Guests will be asked to surrender any glass at the gate, and given the opportunity to transfer the contents to a plastic or metal bottle/container.

6. Environmental Responsibility

We follow a Leave No Trace and Leave It Better Than You Found It ethos. We ask all participants to:

-Take home your recycling if you are self-catering.

– Use the limited recycling and waste facilities on site respectfully.

– Avoid bringing unnecessary waste and pack mindfully.

– Respect the land, wildlife, and one another.

7. Conduct and Safety

Attendees must respect the community, environment, and all safety guidelines in place.

– This is a sober-ish event with no bar on site. Please try to respect others and yourself and moderate your consumption. Anyone found with illegal substances will have them confiscated and dropped in the police drop box, and don’t forget – NO GLASS PLEASE!

– The event includes trained fire marshals and stewards, and safety rules must be followed at all times, especially around fire areas and hot tubs.

8. Ticket Transfers

If you are unable to attend, you may request to transfer your ticket to another named individual,
subject to approval. Please email us in advance to arrange this.

9. Liability

Attendance is at your own risk. The organisers accept no liability for injury, loss, or damage to personal property.

– Participation in activities involving fire, hot tubs, or physical movement is voluntary, and you are responsible for your own safety and wellbeing.

10. Acceptance
By purchasing a ticket, you confirm that you:

– Have read and understood these Terms and Conditions.

– Agree to abide by all event policies and any instructions from event staff or volunteers.

– Understand that breach of these terms may result in removal from the event without refund.
